Privacy policy

This policy explains how Expericia Technologies ("Expericia", "we", "us") handles personal data in connection with ClinQ, our hospital management system, and this website. It covers two different situations, described in sections 1 and 2, because our role is different in each.

1. Visitors and prospective customers (this website)

For people who visit this website, request a demo or contact us, Expericia decides why and how the data is used.

What we collect

• Details you enter in the contact and demo form: your name, hospital or organisation, email address, phone number, facility size, the modules you are interested in, and any message you write.
• Details you send us directly by email or phone, including through a marketplace listing that offers a "Contact me" option, such as the Microsoft Azure Marketplace.
• Basic technical data that any web server records, such as IP address, browser type and the pages requested.
• Usage data collected through Google Analytics (page views, approximate location, device and browser type, referring site). This is switched off when the site is viewed from localhost.

This website loads the Wix Madefor typeface from Google Fonts, so your browser contacts Google's font servers when a page loads, and Google receives your IP address as part of that request.

How we use it

• To reply to your enquiry, arrange a demo and prepare a quote.
• To follow up about ClinQ where you have asked us to.
• To understand how the website is used and keep it working well.
• To keep the website secure.

We do not sell personal data, and we do not use it for advertising.

Who sees it

Enquiries are emailed to members of our sales and management team. We use Google Analytics, email and hosting providers to run the website and to send and store that email. They process data on our instructions. We share data with others only where the law requires it.

How long we keep it

We keep enquiry details for as long as the conversation with you is active and for a reasonable period afterwards, then delete or anonymise them. Ask us sooner if you want them removed.

2. Hospitals and patients (the ClinQ service)

When a hospital or clinic uses ClinQ, the hospital decides what patient and staff data goes into the system and why. Under India's Digital Personal Data Protection Act, 2023 (DPDP Act), the hospital is the data fiduciary for that data. Expericia acts as its data processor: we host and operate the software and process the data only on the hospital's instructions and under our agreement with it.

• Each hospital's data is kept separate from every other hospital's data.
• Access inside the system is controlled by roles, and access to patient records is recorded in an audit log.
• We host ClinQ in India.
• We do not use hospital or patient data for our own marketing, and we do not sell it.

If you are a patient and want to see, correct or delete your health records, please contact the hospital that treated you. We will help the hospital act on your request but cannot respond to it on the hospital's behalf.

3. Security

We take reasonable security safeguards to protect personal data against loss, misuse and unauthorised access, in line with the DPDP Act. No system is completely secure. If a personal data breach affects you, we will tell the affected customer or individual and the Data Protection Board of India as the law requires.

4. Your rights

Under the DPDP Act you can ask us to tell you what personal data of yours we hold, correct it, delete it, or withdraw your consent to its use. You can also nominate someone to exercise these rights for you, and complain to us about how your data is handled. To exercise any of these for data collected through this website, email us at the address below. We will reply within a reasonable time and in any case within the period the law sets.

5. Children

This website is meant for hospital and clinic staff. We do not knowingly collect data from children through it. Children's health data held inside ClinQ belongs to the hospital that treated them, as described in section 2.

6. Changes to this policy

We may update this policy. The effective date at the top shows when it last changed. If a change is significant, we will say so on the website.
